Vawsum and School Canvas are both Indian school ERP platforms, and on the core modules — fees, admissions, examinations, communication, HR — there is less between them than either company’s marketing would suggest. Both will run a school competently. The differences that actually matter sit either side of that common ground. School Canvas is ahead today on admission chatbots and open-API customisation, and publishes a larger examination report count. Vawsum is built around an interface that parents and teachers already know how to use, keeps campus security hardware-free, names every payment gateway it supports, generates NEP-compliant holistic report cards, and runs a helpdesk in Hindi and Bengali as well as English. On transport, School Canvas builds around GPS hardware; Vawsum answers the parent’s question with a QR scan and treats GPS as something you buy only if you have a separate reason to.

Where School Canvas is stronger

Any comparison written by one of the two companies deserves suspicion, so here is the part that is easiest to check: the things School Canvas does that Vawsum does not.

They have an admission chatbot live today, sitting on the front of their enquiry funnel. Vawsum’s is in development and not yet released, so if a conversational front end is something you want running this admission season, they have it and we do not. Vawsum Growth covers the enquiry capture, lead funnel, campaign ROI and follow-up around it, but a prospective parent talks to a form rather than to a bot.

They also advertise an open API with custom URLs and tailored reports. Vawsum publishes a defined list of integrations instead, which covers the connections most schools actually need but is a poorer fit if you have an in-house development team wanting to build against the platform.

On examinations they claim 20+ analysis reports, a specific number Vawsum does not match publicly. The Marksheet module produces performance graphs and subject and class-level analysis, and in practice covers what most schools ask for, but we have not counted and published a figure, and it would be dishonest to pretend the comparison is even.

Their transport module includes a route optimiser. Vawsum has nothing equivalent: you define your routes, sequence the stops and the system calculates distance automatically, but it will not propose a better route than the one you drew. If you run a large fleet and the routing itself is the problem you want solved, that is a real point in their favour.

They offer quality audit and internal task management as add-on modules. Vawsum’s visitor management and gate pass cover part of what they group under front office, but there is no Vawsum equivalent to the audit or task modules.

And they have been in the market longer. The School Canvas brand dates from 2010, having spent most of that time as Parentsalarm. Vawsum Schools Pvt. Ltd. was incorporated in 2016 and grew out of a parent-teacher communication app into a full ERP.

Where Vawsum is stronger

An interface people already know how to use

This is the difference schools notice first and the one that decides whether an ERP survives its first year. Most school software is designed as though the people using it will be trained. In reality the teacher opening it has thirty minutes between classes, and the parent opening it has never used enterprise software of any kind and never will.

Vawsum is built to look and behave like the apps those people already use every day. A feed of updates rather than a dashboard of menus. Posts, notifications, likes, messages — the grammar of Facebook and WhatsApp, applied to school communication. A parent who can use social media can use Vawsum on the first attempt, without a training session, without a manual and without calling the school office to ask where something is. Teachers pick it up the same way.

That matters more than any feature list, because ERP projects rarely fail on capability. They fail on adoption: the module the school paid for that three teachers use, the parent app installed once and never opened, the register that quietly goes back to paper in October. A modern, familiar interface is not decoration. It is the difference between software the school owns and software the school is stuck with.

Campus security without a hardware budget

Vawsum Secure+ handles student attendance, OTP-verified gate passes, visitor logging and bus boarding alerts without the school buying a single device. Collection is verified the way a delivery is: an OTP goes to the parent, the escort presents it at the gate, and only then is the child released. On the school run the bus assistant scans the QR code already on the student’s ID card at boarding and at alighting, and the parent hears about both.

Where a school genuinely wants vehicle telematics, MapmyIndia integrates for live location, geofencing and route replay, and Streamax for on-board video. The distinction we draw is that those answer the school’s question about its fleet, not the parent’s question about their child, and they should be bought for that reason rather than by default. Every payment gateway named, and the merchant account stays yours

Vawsum connects to twelve gateways and banks — Razorpay, PayU, SabPaisa, Easebuzz, ICICI, HDFC, Axis, Kotak, IDFC First, Bandhan, Indian Bank and Punjab National Bank — plus Razorpay and Axis POS machines at the counter. School Canvas advertises a wide range of payment options without naming any of them.

More importantly, Vawsum does not resell payment processing. The school holds its own merchant account, negotiates its own rates and receives settlement directly. Vawsum only carries the instruction. Configuration is a merchant key and a secret key, and takes about two minutes.

It works with the equipment you already own

Vawsum currently manages over 100 active biometric devices across client institutions through eSSL’s eTimeTrack and eBIOServer, supporting fingerprint, face recognition and RFID. No school is asked to replace working hardware to adopt the ERP, which is usually what separates going live in weeks from waiting out a procurement cycle.

Report cards built for NEP, not retrofitted

The Marksheet module generates NEP-aligned holistic progress cards recording scholastic and co-scholastic areas together, alongside standard marksheets, CBSE and ICSE templates, bulk printing, tabulation sheets and admit cards. Where school policy requires it, marksheets and admit cards are automatically withheld from fee defaulters.

Support in the language your staff think in

The helpdesk works in Hindi and Bengali as well as English. In West Bengal and eastern India that is often the difference between a problem being reported and a problem being worked around silently.

The back office, not just the front

Library, inventory, expense, asset, AMC and service, hostel, alumni and certificate and ID card management each have their own documented module. School Canvas does not list equivalents publicly. This is the part of a school that no vendor demos and every bursar lives in.

Your school’s name on the app

Institutions can publish an Android app carrying their own name, logo and identity, so a prospective parent downloads your school’s app rather than a vendor’s. The Vawsum Multiple Intelligence Test sits alongside it for admissions counselling and student profiling, which School Canvas has no equivalent to.

Which should you choose?

School Canvas is the better fit if you need an admission chatbot running this season, you have technical staff who will build against an open API, route optimisation across a large fleet is the problem you are solving, or you want the quality audit and internal task modules.

Vawsum is the better fit if adoption is your real worry and you want software your teachers and parents will actually open, if you would rather not spend on hardware to know a child boarded the bus, if you want named payment gateways with your own merchant account, if you need NEP-compliant holistic report cards, if support in Hindi or Bengali matters, if you want the app to carry your school’s name, or if the back office — library, hostel, alumni, inventory, asset, AMC — is where your administrative pain actually lives.

If your requirement is plain core ERP — fees, admissions, exams, communication, HR — both platforms cover it, and a feature checklist will not separate them. At that point ask for reference calls with schools your size on your board, and ask both vendors what happens in week three of implementation when the data does not import cleanly. That answer tells you more than any comparison table, including this one.
