Any comparison written by one of the two companies deserves suspicion, so here is the part that is easiest to check: the things Entab does that Vawsum does not. With Entab there are more of them than usual, because this is a competitor with a quarter-century of build behind it.

Start with the obvious one. Entab has been writing campus management software since 2000 and self-reports 2,500+ schools, including large multi-campus groups running dozens of branches on one instance. Vawsum Schools Pvt. Ltd. was incorporated in 2016 and reports 1,000+ institutions. If your board’s first question is which vendor has the longest track record and the largest installed base in Indian K-12, the honest answer is Entab, and no amount of feature comparison changes it.

They publish a SQAAF module, built around the CBSE School Quality Assessment and Assurance Framework: domains, sub-domains, benchmark statements, evidence uploads against each standard, automated domain-wise scoring, improvement plans with owners and timelines, and a regional-head review and approval workflow. Vawsum has nothing equivalent. A school with SQAAF on its calendar this year would run it in spreadsheets alongside Vawsum, which is exactly the fragmentation an ERP is meant to remove.

Their AI layer is considerably further along. Entab publishes intelligent auto-grading, plagiarism and originality checking, predictive analytics to flag at-risk students, smart question-paper generation and an AI chatbot assistant. Vawsum’s admission chatbot is in development and not yet released, and Vawsum publishes no automated grading or originality tools at all. If AI-assisted evaluation is something you want this academic year rather than next, they have it and we do not.

Entab also covers two areas of school life Vawsum leaves alone. A performance management system gives structured staff appraisal with defined evaluation cycles, and an anecdote module records observations on student behaviour, discipline, achievements and interventions against the student record. Vawsum handles staff attendance, leave and payroll but stops short of appraisal, and keeps no pastoral or behavioural log. In a school where teacher appraisal is a formal annual exercise and where a housemaster’s notes need to survive a change of staff, that is a real gap.

On transport, their module is built around GPS hardware and does more with it. Live vehicle tracking with route playback, speed and stoppage history, bus attendance captured by RFID or biometric integration, and smart route planning with optimisation tools. Vawsum has no route optimiser: you define your routes, sequence the stops, and distance is calculated automatically from coordinates, but the system will not propose a better route than the one you drew. If you run a large fleet and the routing itself is the problem you are trying to solve, that is a point in their favour.

Finally, Entab ships learning content, not just a platform to deliver it: a digital teaching resource library, a CBSE-aligned outcome-based question bank, experiential learning programmes, and a separate Classes 1 to 10 product. Vawsum Scholar is a delivery platform for the school’s own material, assignments, online classes and tests, and does not include curriculum content. They also list a tuck shop point of sale, event management and lost-and-found, none of which Vawsum publishes.

An interface people already know how to use

This is the difference schools notice first and the one that decides whether an ERP survives its first year. Most school software is designed as though the people using it will be trained. In reality the teacher opening it has thirty minutes between classes, and the parent opening it has never used enterprise software of any kind and never will.

Vawsum is built to look and behave like the apps those people already use every day. A feed of updates rather than a dashboard of menus. Posts, notifications, messages: the grammar of Facebook and WhatsApp, applied to school communication. A parent who can use social media can use Vawsum on the first attempt, without a training session, without a manual and without calling the school office to ask where something is. Teachers pick it up the same way.

That matters more than any feature list, because ERP projects rarely fail on capability. They fail on adoption: the module the school paid for that three teachers use, the parent app installed once and never opened, the register that quietly goes back to paper in October. Entab answers the same parent question through GPS units on the vehicle and RFID or biometric readers for boarding, which works, and which costs money before it works. Every payment gateway named, and the merchant account stays yours

Vawsum connects to twelve gateways and banks: Razorpay, PayU, SabPaisa, Easebuzz, ICICI, HDFC, Axis, Kotak, IDFC First, Bandhan, Indian Bank and Punjab National Bank, plus Razorpay and Axis POS machines at the counter. Entab describes multiple configurable payment gateways and support for all major RBI-approved gateways without naming a single one. Ask them for the list before you assume yours is on it.

More importantly, Vawsum does not resell payment processing. The school holds its own merchant account, negotiates its own transaction rates and receives settlement directly; Vawsum only carries the instruction. No school is asked to replace working hardware to adopt the ERP, which is usually what separates going live in weeks from waiting out a procurement cycle. Institutions can publish an Android app carrying their own name, logo and identity, so a prospective parent downloads your school’s app rather than a vendor’s. Entab publishes its apps under the CampusCare brand and does not list a white-labelled option. Support in the language your staff think in

The helpdesk works in Hindi and Bengali as well as English, and tutorials are available in vernacular languages. Vawsum is a Kolkata company with its client base concentrated in West Bengal, Siliguri, the Northeast and eastern India; Entab’s is centred on Delhi NCR and the large national school groups. In eastern India that language difference is often what decides whether an accounts clerk reports a problem or works around it silently for a term.

The number that comes back every year

Neither company publishes a price list, and both quote per institution, so treat any figure as indicative until you have two written proposals in front of you. What we can tell you is what we see. On a one-off purchase that would be worth a sentence and no more. An ERP licence is not a one-off purchase. That is a teaching post, or the interactive panels for two classrooms, or the biometric devices another vendor told you were compulsory. It is also the line the bursar has to defend every March, long after the demo that won the decision has been forgotten.

So do not compare first-year licences. Ask both vendors for a five-year total that includes implementation, data migration, staff training, annual support, the cost of adding a branch and the cost of adding students, and ask what happens to the renewal price in year three. A cheaper first year with an unbounded renewal is not cheaper.

And a large part of this is a draw

It would be dishonest to present the back office as a Vawsum advantage here, because it is not. Library, inventory, asset, expense, hostel, alumni, certificates and ID cards, health and infirmary records, Tally integration and WhatsApp messaging all exist on both platforms. So do fees, admissions, examinations, timetabling, payroll and the school website. Vawsum publishes an AMC and service management module with SLA tracking that Entab does not list, and Entab lists several niche modules Vawsum does not. On the core of an ERP, a feature checklist will not separate these two.

Which should you choose?

Entab CampusCare is the better fit if you are a large or multi-campus group that wants the vendor with the longest record and the biggest installed base, if SQAAF sits on your compliance calendar, if formal staff appraisal and behavioural records need to live inside the ERP, if AI-assisted grading and plagiarism checking matter to your academic team, if route optimisation across a large fleet is the problem you are solving, or if you want curriculum content bundled with the software rather than supplied by your own teachers.

Vawsum is the better fit if adoption is your real worry and you want software your teachers and parents will actually open, if you would rather not spend on hardware to know that a child boarded the bus or was collected by the right adult, if you want your payment gateways named and your own merchant account retained, if you want the app to carry your school’s name rather than the vendor’s, if your existing biometric machines need to keep working, if support in Hindi or Bengali is what will make the difference in your office, or if the annual licence is a line your budget genuinely feels, since Vawsum typically quotes around 20 per cent below Entab and that gap repeats every year.

If your requirement is plain core ERP, both platforms cover it, and a feature checklist will not separate them. Ask both vendors which of the AI features they advertise are live in a school today and which are announced, because that question separates vendors faster than any demo. Then ask for reference calls with schools your size on your board, and ask what happens in week three of implementation when the data does not import cleanly. That answer tells you more than any comparison table, including this one.
