How the Vawsum Hostel Management System works

From room setup to night roll call, the whole residential operation runs in one place.

Most institutions run the hostel on a separate register, so the warden knows who is in which room but the school office does not, and nobody can answer a parent question without a phone call. Vawsum holds the whole residential operation inside the same system as the rest of the institution. You set up your structure once - multiple hostels, blocks and floors, with room types such as AC, non-AC, twin sharing or dormitory - and the system enforces the capacity of each room so a bed is never double booked. Students are admitted through a separate hostel application form, allocated to a bed individually or as a whole batch, and moved between rooms during the year with the transfer history retained. A vacancy dashboard shows free beds by hostel and room type at any moment, and every room carries a status so occupied, vacant, reserved and under-maintenance rooms are never confused. Night roll call is recorded as its own event, separately from class attendance, and can run several times a day; the warden takes it from a phone, and parents are alerted the moment a resident is missed. Hostel charges are billed through their own fee book with rates that vary by room type, security deposits are tracked through to refund on vacating, and hostel defaulters are reported separately from tuition. Wardens get their own login, hostel-only announcements reach residential parents, and student movement in and out of the campus runs through the Secure+ OTP gate pass rather than a paper outpass book.

Benefits

Vawsum's Hostel Management System gives the warden and the administration one shared view of every residential student
One Shared Record

The warden and the school office work from the same hostel data, so room allocation and residential details never sit in a register only one person can read.

No Separate System to Maintain

Hostel records sit inside the same platform as academics, attendance and fees, so there is no second piece of software to buy, learn or reconcile.

Parents Hear Sooner

A resident missed at roll call triggers an alert to the parent straight away, rather than a phone call the next morning once somebody notices.

Features

Our Hostel Management System is designed basis inputs from 1000+ institutions
Multiple Hostels, Blocks and Floors

Run several hostel buildings under one institution, each broken into blocks, wings and floors, so the structure in the system matches the structure on the ground.

Room Types and Categories

Define room categories such as AC and non-AC, twin sharing, four sharing or dormitory, and price and allocate against those categories.

Room and Bed Records

Set up rooms and the beds within them once, so every place in the building is accounted for and the system enforces each room capacity at allocation.

Room Status Tracking

Every room carries a status - occupied, vacant, reserved or under maintenance - so a room out of service is never handed to a student by mistake.

Bulk Allocation

Allocate an entire class or incoming batch to rooms in one operation at the start of the session, instead of assigning students to beds one at a time.

Room Transfers with History

Move a student to a different room mid-session and the earlier allocation is retained, so the institution can see where a student has stayed across the year.

Vacancy Dashboard

See free beds by hostel and by room type at any moment, so an enquiry about a hostel seat is answered from the screen rather than by walking the corridors.

Hostel Admission Form

Residential students are admitted through a separate hostel application form, so hostel intake is captured properly rather than noted against the school admission.

Local Guardian Records

A local guardian is recorded separately from the parents, so the institution knows who can be reached in the city when the family lives far from campus.

Night Roll Call

Roll call is recorded as its own event, separate from class attendance, so presence in the hostel at night is tracked in the system rather than in the warden register.

Multiple Attendance Sessions

Attendance can be taken several times a day - morning, evening and night - so the hostel keeps track of residents at every point the institution needs to.

Warden Takes Roll Call on the App

The warden marks attendance from a phone while walking the floors, so nothing is written on paper first and copied into a system afterwards.

Absence Alerts to Parents

When a resident is missed at roll call the parent is notified straight away, so an unexplained absence surfaces in minutes rather than the following morning.

OTP Gate Pass for Movement

Students leaving campus are cleared through the Secure+ gate pass, where the request is approved, an OTP goes to the parent and the exit is recorded, rather than through a paper outpass book.

Warden Login and Access

The warden is a distinct user role with their own login, so hostel staff work inside the system with access appropriate to their responsibilities.

Hostel Fees by Room Type

Hostel charges run through their own fee book in the Fee Management System, with rates that vary by room type and occupancy, so an AC twin room bills differently from a dormitory bed.

Security Deposit and Refund

Security deposits are recorded against the student when collected and tracked through to refund when the student vacates, so nothing is settled from memory.

Hostel Defaulter Reports

Hostel fee defaulters are reported separately from tuition defaulters, so the hostel account is followed up on its own without unpicking a combined statement.

Hostel Announcements

Send announcements to residential parents only through Vawsum Connect, so a hostel notice reaches the families it concerns instead of the whole school.

Warden to Parent Messaging

The warden can message an individual parent one to one from within the platform, without either side exchanging personal mobile numbers.

Linked to the Student Profile

Hostel information attaches to the same student record used for academics, attendance and fees across the Vawsum ERP, so nothing is entered twice.

Reports the Hostel Module Generates

Every report below is produced from the records the warden and the office already maintain day to day, so month end does not become a data-entry exercise.
  • Occupancy report – beds filled and free, by hostel, block and room type
  • Hostel attendance summary – roll call across any date range
  • Students currently out – who has left campus on a gate pass and not returned
  • Hostel fee collection report – collections and dues on the hostel fee book
  • Room allocation register – printable record of who is allotted where
  • Hostel defaulter list – outstanding hostel dues, separate from tuition

Schools running their hostel on Vawsum

The hostel module is newer than the rest of the platform, so the list is short and every name on it is a live installation.

Frequently asked questions

If you have any doubts about our Hostel Management System beside these, feel free to reach out to us

1. Can I opt for just the Hostel Management module?

Yes you can. You need not pick the other modules of Vawsum.

2. Can we manage more than one hostel building?

Yes. Several hostel buildings can run under one institution, and each can be broken into blocks, wings and floors so the structure in the system matches the structure on the ground.

3. Can we define room types like AC, non-AC and dormitory?

Yes. Room categories such as AC and non-AC, twin sharing, four sharing and dormitory are configured by the institution, and both pricing and allocation work against those categories.

4. Does the system stop us over-allocating a room?

Yes. Each room carries a capacity and the system enforces it at allocation, so a bed cannot be handed to two students. Rooms also carry a status – occupied, vacant, reserved or under maintenance – so a room out of service is not allotted by mistake.

5. Can we allocate a whole batch of students at once?

Yes. An entire class or incoming batch can be allocated to rooms in a single operation at the start of the session, rather than assigning students to beds one at a time.

6. Can a student be moved to a different room mid-session?

Yes. Room transfers are supported during the year and the earlier allocation is retained, so the institution can see where a student has stayed across the session.

7. How do we know which beds are free?

A vacancy dashboard shows free beds by hostel and by room type at any moment, so an enquiry about a hostel seat is answered from the screen rather than by checking the building.

8. Is there a separate hostel admission form?

Yes. Residential students are admitted through a separate hostel application form, so hostel intake is captured in its own right rather than noted against the school admission.

9. Can we record a local guardian separately from the parents?

Yes. A local guardian is held against the student separately from the parents, so the institution knows who can be reached in the city when the family lives far from campus.

10. Can we take night roll call separately from class attendance?

Yes. Hostel roll call is recorded as its own event, distinct from class attendance, so presence in the hostel at night is tracked in the system rather than in the warden register.

11. Can attendance be taken more than once a day?

Yes. Roll call can run several times a day – morning, evening and night – so the hostel accounts for residents at every point the institution needs to.

12. Can the warden take roll call from a phone?

Yes. The warden marks attendance from the mobile app while walking the floors, so nothing is written on paper first and copied into the system afterwards.

13. Are parents told if a student misses hostel roll call?

Yes. When a resident is missed at roll call the parent is notified straight away, so an unexplained absence surfaces within minutes rather than the following morning.

14. How is student movement in and out of the hostel controlled?

Movement runs through the Vawsum Secure+ gate pass rather than a paper outpass book. The request is approved, an OTP goes to the parent, and the exit is recorded, so the institution has a verified trail of who left campus and when.

15. Does the warden get their own login?

Yes. The warden is a distinct user role with their own login, so hostel staff work inside the system with access appropriate to their responsibilities.

16. Can hostel fees differ by room type?

Yes. Hostel charges run through their own fee book with rates that vary by room type and occupancy, so an AC twin room bills differently from a dormitory bed, and hostel collections stay distinct from tuition.

17. Is the security deposit tracked and refunded?

Yes. Security deposits are recorded against the student when collected and tracked through to refund when the student vacates, so the settlement is not worked out from memory.

18. Can we see hostel fee defaulters separately from tuition?

Yes. Hostel defaulters are reported separately from tuition defaulters, so the hostel account can be followed up on its own without unpicking a combined statement.

19. Can we send announcements only to hostel parents?

Yes. Announcements can be sent to residential parents alone, so a hostel notice reaches the families it concerns rather than the whole school. The warden can also message an individual parent one to one without either side exchanging personal mobile numbers.

20. How long does it take to go live?

We can configure the system in a few hours if we have all the data.
